SIS 2000+ No Show Processing

A "no show" student is a student who was enrolled in school but never
showed up to attend classes. This application will enable school sites
to process no show students in bulk. A search function will produce a candidate list of
no shows by searching the attendance records for students who
have been absent for a defined number of consecutive days. The list
of eligible no shows can be edited by the user before final processing.
Processing no shows in this application accomplishes the following functions:

Renders no show students as "inactive"

Deletes all 'Future' student status records.

Closes currently open student status records (withdrawing the no show student
from the track) posting an exit code
and exit date as defined.

Closes appropriate enrollment history record, again using the exit code
and exit date defined.

Updates attendance records, replacing existing attendance
codes with an attendance code selected. (NOTE: The application does
not post any new attendance
marks, thus if a student was not marked as absent for every period
previously, this process will not alter that.)

Withdraws student from currently scheduled classes, posting exit date selected.

Deletes schedule records for classes which begin in the future.
-
Deletes all student request records for that student for that track.
-
Withdraws student from currently enrolled programs (such as Special Programs,
etc.).
1. Open No Show Processing application
From SIS 2000+'s Main Menu, click on the Enrollment icon button. From
the Enrollment Menu, click on the No Show icon button.
2. Define Criteria (Fig. 1)

Track -
Select an attendance track to process.

Start Date -
Select a beginning date for the date range to search. Defaults to the
first day of school for the selected track.

End Date -
Select an ending date for the date range to search. Defaults to the
10th day of school for the selected track.

Make No Show Selections From -
The process function will search the attendance records for students
who are absent for a defined number of consecutive days. On occasion,
a student that doesn't show for the first few days of school may be rendered
as "inactive" by an administrator. Students that are changed from "active"
to "inactive" are removed from the attendance and schedule records,
thus, in effect, putting the student "on hold" pending a determination
of the reason why the student has been absent. The following options will
determine how the application searches for no show students:

All Active Students -
Check this option to search from a list of all active students, i.e.,
students who have a status of "active" for all days within the date
range. This search option will skip any student who has been "inactive"
on any days in the date range.

Students Meeting Attendance Criteria -
Searches from a list of students who have been absent from every
scheduled period from start date to end date. This will include any students
who have an "inactive" status on any of days in the date range.
3. Select students eligible to be processed
3.1 Initiate
After all criteria are defined, click on the Process No Shows
command button to initiate the search.
3.2 Select students
The next screen (Fig. 2) displays a list of students eligible to be
processed as no shows according to the criteria defined.

In order to be processed as a no show, eligible students must be selected
and moved from the list on the left to the No Show Students To Process
list on the right. This is done by either double clicking on a student
name in the left column or selecting a name in the left column and clicking
the single right arrow to move that name to the list on the right.

To select more than one name, hold the Ctrl key down while clicking with
the mouse. To move all names from the left to the right,
click on the double-right arrow.

To deselect a student from the No Show Students to Process list
use the same techniques in reverse.

The Reset button will undo any changes made and display lists as
original.

The Return button will take the user back to the opening screen
without processing (user is prompted for verification if students exist
in process list).

The Process button invokes a third form (Fig. 3) which prompts the
user for a default exit code to use when withdrawing students and an attendance
code to use in replacing all attendance marks which have been previously
posted for the no show students.
4. Execute process
After the Process button has been executed in the previous step
a final dialog (Fig. 3) will appear before the withdrawal process is completed.

Exit Code -
Select an exit code to assign to all no show records as they are withdrawn.

Replace Attendance Codes With -
Select an attendance code to use in replacing all attendance marks
which have been previously posted.
Click on the Continue command button to finish processing. After
the withdraw process is complete the view will return to the main application
screen (Fig. 1). Click on the Quit command button to exit the program.
