SIS 2000+ SPEEDE/ExPRESS

The
SPEEDE/ExPRESS School Editor program holds school site data in the Electronic
Data Interchange (IDE) format, enabling electronic transfer of data
to remote locations using SIS 2000+'s transfer programs. As a convenience,
some school site demographic information defined in the separate School
Editor program will be automatically copied to the SPEEDE/ExPRESS School
Editor program at the time a new site is created. However, if a school
site's data is to be transferred using the SPEEDE/ExPRESS procedure, the
record must be appended in the SPEEDE/ExPRESS School Editor with further
IDE information.
School information between these two programs is not linked in any way
other than by the initial copy event. From that point on each database
is independent of the other. For instance, a school site's information
initially copied during its creation in the School Editor will remain in
the SPEEDE/ExPRESS School Editor database even if that school site is deleted
in the School Editor database. Furthermore, any changes made to a site's
demographic data in the SPEEDE/ExPRESS School Editor database will not
be copied back to the School Editor database. In the same manner, a school
site record that is deleted in the SPEEDE/ExPRESS School Editor program
will not be automatically deleted in the School Editor program.
1. Open SPEEDE/ExPRESS School Editor and view data:
From SIS 2000+'s System menu, click on the SE School Editor
icon button. The SPEEDE/ExPRESS School Editor program screen defaults to
the first school contained in its database, in numerical order by Speede
Express Code, in the read-only mode (Fig. 1).

The main program screen has two information screens. Click on a tab
to bring a screen to the front:

The Site Information screen is similar to a School Editor record
in that it contains basic demographic data such as School Name, Address,
and Phone. However, this screen contains a few extra fields that are not
found in the School Editor: County, Country, Fax, District Code, and Email.
These extra fields are related to the electronic transfer of data.

The EDI Transport Information screen (Fig. 4) contains the school
site's protocol codes used for Electronic Data Exchange procedures.
2. Append an existing school site record with IDE data
School sites within the district have already been defined in
the separate School Editor program.
As a convenience, the basic demographic information for a new site will
be automatically copied to the SPEEDE/ExPRESS School Editor database. This
feature saves having to re-key data when defining IDE information for a
school. The following procedure illustrates how to find a school record
that has been copied to the SPEEDE/ExPRESS program and complete it by appending
the data.
2.1 Find target school
Click on the List command button. This action will open a list
of all school sites in the SPEEDE/ExPRESS database.
2.2 Select a school site from the list
School sites are listed alphabetical order with their corresponding
School Codes (in parenthesis). Highlight the target school site and click
on the Select button to open the record.

2.3 Activate the edit mode
The newly opened record will be in the read-only mode; signified by
the gray fields. Click on the Edit command button to activate the
edit mode, signified when the gray fields turn to white (Fig. 3).
2.4 Append/Edit data in the Site Information
screen
All data in this screen is copied initially from the School Editor
application or calculated by the SIS 2000+ system. In most cases the 'Site
Information' does not need to be appended or changed, although it may be
edited if necessary as follows:

Speede Express Code -
Defaults to the School Code entered in the School Editor. For
schools within the district this field does not need to be appended or
edited.

Transcripts -
This option is checked "On" by default. Deselect this
field to filter out this school site for various transcript reporting purposes.

Enrollment -
This option is checked "On" by default. Deselect this
to filter out this school site for various enrollment reporting purposes.

School Name -
Copied from School Editor. For schools within the district this field
does not need to be appended or edited.

Address -
Copied from School Editor. For schools within the district this field
does not need to be appended or edited.

City -
Copied from School Editor. For schools within the district this field
does not need to be appended or edited.

St (State)-
Copied from School Editor. For schools within the district this field
does not need to be appended or edited.

Zip -
Copied from School Editor. For schools within the district this field
does not need to be appended or edited.

County -
Calculated field from SIS 2000+ zip code tables. For schools within
the district this field does not need to be appended or edited.

Country -
Calculated field. For schools within the district this field does not
need to be appended or edited.

Phone -
Copied from School Editor. For schools within the district this field
does not need to be appended or edited.

Fax -
Copied from School Editor. For schools within the district this field
does not need to be appended or edited.

School Type -
Copied from School Editor. For schools within the district this field
does not need to be appended or edited.

District Code -
Copied from School Editor. For schools within the district this field
does not need to be appended or edited.

Email To/Email From -
These two fields do not apply to schools within the district.
Leave blank.
2.5 Enter data in the 'EDI Transport Information'
screen
Refer to Speede Express protocols for information on each data field.

2.6 Save Data
Click on the Save command button to save the appended data,
Undo to cancel.
3. Add a new school site to receive IDE data
This procedure depends on whether the school site to add is within
the district or outside of the district.
3.1 Method #1 - For school sites within
the district.
If the new site is a member of the school district then it must be
entered in the School Editor program first, as follows:

Close SPEEDE/ExPRESS School Editor program

Go to the School Editor program
From the System menu, click on the School Editor icon button.

Add a school site in School Editor
See School Editor documentation
for details on how to add a school.

Reopen SPEEDE/ExPRESS School Editor
A record for the new school site defined in School Editor will now
be copied to the SPEEDE/ExPRESS School Editor.

Use the List command to locate the new record (See Steps 2.1-2.2 above).
If the record does not appear, close and reopen the program.

Complete the record
by entering EDI data in the two information screens, as in Step 2.3
above.

Save data
Click on the Save command button, or Undo to clear all
changes since the last save.
3.2 Method #2 - for school sites outside
the district (remote sites)
A remote school site is added to the SPEEDE/ExPRESS School Editor without
adding it to the School Editor database. All remote school sites that will
be sending data to the district or receiving data from the
district should be entered in this application.
3.2.1 Activate the entry mode
Click on the Add command button to open a blank form.
3.2.2 Enter 'Site Information' data

Enter the valid code for the remote school site.

This option is checked "On" by default. Deselect this
field to filter out this school site for various transcript reporting purposes.

SPEEDE/ExPRESS data from your district.

Enter the e-mail address of the person in your district who will be
sending SPEEDE/ExPRESS data to this remote site.
3.2.3 Enter 'EDI Transport Information' data
As in Step 2.5.
3.2.4 Save data
Click on the Save command button, or Undo to clear all
changes since the last save.
4. Edit a SPEEDE/ExPRESS school site
(Note: Any changes made to a site's demographic data in the SPEEDE/ExPRESS
School Editor database will not be copied back to the School Editor database.)
4.1 Use the List command to find a school record
As is Step 2.1-2.2
4.2 Activate the Edit mode
As is Step 2.3
4.3 Modify data
Select an information screen to edit. Use the TAB key to move from
field to field.
4.4 Save data
Click on the Save command button, or Undo to clear all
changes since the last save.
5. Delete a SPEEDE/ExPRESS school site.
(Note: A school site record that is deleted in the SPEEDE/ExPRESS School
Editor program will not be automatically deleted in the School Editor program.
Furthermore, a SPEEDE/ExPRESS school site cannot be deleted if "related
records" exist.)
5.1 Find a school record to delete
Use the List and Select command buttons to locate and
open the record, as in Steps 2.1-2.2.
5.2 Click on the Delete command button
In the dialog box that appears (Fig. 6) answer "Yes" to confirm deletion
or "No" to abort.
