SIS 2000+ Permissions

The
Permissions Editor program is used by the system administrator or a database
administrator to define what features (command buttons, data fields, and
tabs) of a SIS 2000+ application will be available or unavailable to specific
users. The user interface of any SIS 2000+ application can thus be customized
per faculty member for security or confidentiality purposes or as
a way to streamline operations.
This program should not be confused with the Permissions feature in the Faculty Editor which grants users access to applications themselves, but does not determine permission status in regard to the features within applications.
Prerequisites:
All users who will be assigned permissions must be registered as faculty
members, assigned to a school site via a track assignment, and then granted
"launch level" permission to each SIS 2000+ application they will be using.
These three prerequisites are accomplished via the Faculty Editor as follows:
1. Open the Permissions Editor
From the SIS 2000+ Main Menu, click on the System icon
button. From the System Menu, click on the Permissions icon
button.
The opening screen will default to the first faculty member in the school site's database, alphabetically by last name (Fig. 1). Basic demographic information will be displayed in the banner, including school site and track description. SIS 2000+ applications will be listed in the SIS 2000+ Data Access Assignment field. If the selected faculty has been granted access (launch level permission) to the SIS 2000+ application displayed in this field, the features of each access assignment (button, field, tab) will be listed in the grid below with the Protect or Hide check boxes checked or unchecked for each.

2. Find a Faculty record
A search may be carried out in three ways: by using the VCR
buttons, the Find command, or the List Command

2.2 Using the Find command
Click on the Find command button (or ALT+F on the keyboard).
The Faculty Find form appears (Fig. 2).

Enter the Faculty Identifier number and click on Find button within the search form. If the number is valid, the matching faculty member's record will open. If the ID number is not known, a search can be initiated by entering any portion of the faculty member's last or first name and clicking on the Find button within the search form. Click on Clear to clear any data entered and start again.
2.3 Using the List command
Click on the List command button to open a list of all faculty
members in the site's database, sorted alphabetically by last name (Fig.
3). The corresponding Faculty ID numbers and track assignments are shown
in columns. Highlight the target faculty member and click on the Select
command button to open the record, or Cancel to abort.

Note on Tracks:
Faculty members may be assigned to more than one track
per school site. All procedures executed in this program will take effect
uniformly in all tracks the specified faculty member is assigned to.

4. Edit features of an Assignment
The features (or 'objects') of the selected assignment are command
buttons, data fields, and tabs (information screens). These will be displayed
in the grid if the selected faculty has been granted launch level permissions
for the application via the Faculty Editor. If the grid is empty
then the selected faculty has not been granted access to the selected Data
Access Assignment. In this case you must go back to the Faculty Editor
and grant permission to the target application before this procedure can
continue.
In this procedure, each feature can be defined as either hidden from view or protected so that when the faculty member logs on and opens the application, the features defined as "hidden" will not appear at all and the features defined as "protected" will be disabled.

5.2 Edit Features of Data Access Assignments
Follow Steps 4-4.4 to create a configuration of Protect/Hide definitions
for the selected faculty.
5.3 Save the Set
The Save Set procedure can only be executed while in the edit
mode. After all Data Access Assignments have been defined satisfactorily,
click on the Edit command button to activate (or return) to the
edit mode.
Click on the Save Set command button. This action will open the 'Permission Sets' screen showing a list of other sets that may have been defined previously (Fig. 8).

5.6 Enter and Save the Set Name
Enter a name for the new set to be defined in the Enter a Set Name
field (Fig. 9). Then click on the Save command button (or Undo
to cancel). The new set name defined will appear at the bottom of the list.

5.7 Exit Save dialog
Click on the Done command button to exit the 'Permission Sets'
screen and revert to the Permissions main screen in the in the edit mode.
(To exit the edit mode on the main screen, click on the Done command
button.)
6.2 Activate the edit mode
Click on the Edit command button to activate the edit mode.
6.3 Select an Assignment Set to apply
Select a Set name from the Assignment Sets drop-down list (Fig.
9).

6.4 Apply Set
When the target Set name appears in the field (Fig. 11), click on the
Apply command button.

The view will remain in the edit mode. The new Hide/Protect definitions can be browsed for each Data Access Assignment in the selected faculty's permissions. The new configuration sets will not take effect permanently until a Save is executed in the next step.
6.5 Save data
Click on the Save command button to save the applied set and
return to the read-only mode, or Undo to cancel. The newly-applied
Set will now be in effect.
7.1 Initiate
Activate the edit mode from any faculty record by clicking on the Edit command button. Then click on the Remove command button to open the 'Select a Set For Deletion' screen (Fig. 12)

Select a set for deletion by clicking on the target line until it is outlined in blue (Fig. 12) Then click on the Delete command button. This action will remove the selected set from the list.7.3 Exit Remove dialog
Click on the Done command button to close the 'Select a Set For Deletion' screen and return to the main screen in the edit mode. (To exit the edit mode on the main screen, click on the Done command button.)
