SIS 2000+ Permissions Editor

The Permissions Editor program is used by the system administrator or a database administrator to define what features (command buttons, data fields, and tabs) of a SIS 2000+ application will be available or unavailable to specific users. The user interface of any SIS 2000+ application can thus be customized per faculty member for security or confidentiality purposes or as a way to streamline operations.

This program should not be confused with the Permissions feature in the Faculty Editor which grants users access to applications themselves, but does not determine permission status in regard to the features within applications.

Prerequisites:
All users who will be assigned permissions must be registered as faculty members, assigned to a school site via a track assignment, and then granted "launch level" permission to each SIS 2000+ application they will be using. These three prerequisites are accomplished via the Faculty Editor as follows:

  1. To add a faculty member, see Faculty Editor, Sec. 2, "Add a Faculty Member"
  2. To assign a faculty member to a track, see Faculty Editor, Sec. 6, "Edit 'Status' Data"
  3. To grant access (launch level permission) to applications per faculty member, see Faculty Editor, Sec. 9, "Edit 'Permissions' Data"

Only faculty records from the logged on school site will be available to the Permissions interface. To access all faculty records within the district, log on to the District Office.
 

1. Open the Permissions Editor
From the SIS 2000+ Main Menu, click on the System icon button. From the System Menu, click on the Permissions icon button.

The opening screen will default to the first faculty member in the school site's database, alphabetically by last name (Fig. 1). Basic demographic information will be displayed in the banner, including school site and track description. SIS 2000+ applications will be listed in the SIS 2000+ Data Access Assignment field. If the selected faculty has been granted access (launch level permission) to the SIS 2000+ application displayed in this field, the features of each access assignment (button, field, tab) will be listed in the grid below with the Protect or Hide check boxes checked or unchecked for each.

2. Find a Faculty record
A search may be carried out in three ways: by using the VCR buttons, the Find command, or the List Command

Use the drop-down list in the SIS 2000+ Data Access Assignment field to select an assignment to edit (Fig. 4). Assignments appearing in this list are SIS 2000+ applications and reports.

that have been authorized for access by the selected faculty member via the permissions procedure in the Faculty Editor program.

4. Edit features of an Assignment
The features (or 'objects') of the selected assignment are command buttons, data fields, and tabs (information screens). These will be displayed in the grid if the selected faculty has been granted launch level permissions for the application via the Faculty Editor. If the grid is empty then the selected faculty has not been granted access to the selected Data Access Assignment. In this case you must go back to the Faculty Editor and grant permission to the target application before this procedure can continue.

In this procedure, each feature can be defined as either hidden from view or protected so that when the faculty member logs on and opens the application, the features defined as "hidden" will not appear at all and the features defined as "protected" will be disabled.

5. Create and Save Assignment Sets
An Assignment Set is a configuration of Protect/Hide definitions that can be saved for later use. Sets are saved after successfully identifying a subset of controls that would be applicable to a common group of people. Assignment Sets are first defined in the edit mode for a single faculty member but they then can be recalled and applied later to other faculty members (see Step 6). When an Assignment Set is applied to a faculty member the entire set of controls will be applied - all other previously defined options will be removed. However, it will not affect Data Access Assignments (launch permissions) for the selected faculty. These are defined per teacher in the Faculty Editor.

6. Apply Assignment Sets 7. Remove an Assignment Set
Assignment Sets can be removed from the list. However, their removal does not undo the effects of previous Apply commands.
7.1 Initiate
Activate the edit mode from any faculty record by clicking on the Edit command button. Then click on the Remove command button to open the 'Select a Set For Deletion' screen (Fig. 12)

7.2 Delete
Select a set for deletion by clicking on the target line until it is outlined in blue (Fig. 12) Then click on the Delete command button. This action will remove the selected set from the list.

7.3 Exit Remove dialog
Click on the Done command button to close the 'Select a Set For Deletion' screen and return to the main screen in the edit mode. (To exit the edit mode on the main screen, click on the Done command button.)
