4, Edit / Maintain / Copy Track Data
It is important to set up the "General" parameters correctly when setting
up a new track (Step 1). These General data
fields should rarely, if ever, be changed once a track has been implemented.
Other track data, however, needs to be updated and maintained as the school
year progresses.
4.1 Editing and Saving Data
4.1.1 Select one of three information screens
in the Track Editor program: General, Calendar, or Definitions.
4.1.2 Select a sub-screen, if applicable
(in the Calendar and Definitions screens only).
4.1.3 Click on the Edit command button
at the bottom of the screen to activate the edit mode; signified when the
gray fields turn to white.
4.1.4 Go to the target data fields and make
changes. Techniques for navigating and entering data in the various information
screens are found in the "Steps for Adding A New Track" as follows:
4.1.5 Validate and Recalculate Before Saving, if
applicable
If any modifications are made in the Events Calendar, check the validity
of the dates before saving by clicking on the Validate Events command
button.
Whenever changes are made in any of the Calendars, the recalculated
calendars can be previewed before saving by executing the Recalc Calendar
command button.
4.1.6 Save changes
Save modified data by clicking the Save command button, or Undo
to abort. Allow a few moments for the Track Calendar to recalculate after
the Save is executed.
4.2 Maintaining data
Other SIS 2000+ programs, such as Attendance and Scheduling, access
current track calendars. For proper functioning of these programs the following
essential track data should be updated or maintained as the school year
progresses:

Changes in cycle days
When a track is initially defined, The Cycle Days Calendar automatically
calculates the cycle day assignments for the entire school year. Subsequent
modifications to cycle day assignments must be kept up to date using the
modify cycle days procedures (see Step
3.3).

Changes in calendar events
When a track is initially defined, all the event markers for the entire
school year should be programmed into the Events Calendar. If, for any
reason, events need to be modified, the event markers should be updated
as soon as possible in the Events Calendar (see
Step 3.2).

Changes in non-school days
Unforeseen events, such as adverse weather conditions, fire, or other
contingencies may disrupt the school calendar. School days that are missed
may require make up days and necessitate a rescheduling of the remainder
of the school year. For proper attendance calculations any rescheduling
must be reflected in the track's Events Calendar. For instance, a normal
school day that was missed due to the school being closed in a contingency,
must be marked as a non-school day in the Events Calendar. Conversely,
if a planned non-school day needs to be scheduled as a school day, it must
be assigned a cycle day in the Events Calendar (see
Step 3.2).

Changes in bell schedule
When bell schedules are initially assigned to cycle days, the Bell
Schedule Calendar is automatically calculated to reflect the Cycle Days
Calendar. Bell schedule assignments can be overridden in the Bell Schedules
Calendar. (See Step 3.4). Changes can
also be made in Bell Schedule vs. Cycle Day assignments (See
Step 2.5.7). Changes in Begin and End times in bell schedules must
be kept current in the Track Editor program for proper calculation of total
attendance minutes (See Step 2.5.5).
4.3 Copy A Track
Tracks may be easily copied from any school site in the District to
any other school site in the District. A Track may also be copied within
a school site. The only requirement is that the combination of school site
(School identifier code), track code, and year ending fields cannot be
duplicated. In effect, the copy procedure is similar to creating a new
track except that you get the benefit of using a previously created track
as a template.
4.3.1 Open Track Copy Utility screen
Select the Copy command from the File menu (Fig. 57), or press CTRL+C
on the keyboard

4.3.2 Select source, track and destination

From School -
select the school site from which the track to be copied is located.
The site selected may be a district office or it may be the same site that
is currently logged on.

Track to Copy -
select a track to copy from the drop-down list. Only tracks assigned
to the From School will be available for selection.

To School -
select the destination school site for the copy.
4.3.3 Edit Code and Year
After Track to Copy is selected in the previous step, the Track
Code and Year End information will automatically appear in the Code
and Year fields. No two tracks can have the same track code and
year end within the same school site. Edit these fields, if necessary,
to assign a new track code and year end to the copy that will be made (Fig.
59).

4.3.4 Select Items to Copy
Select track attributes to be copied or deselect attributes
to be excluded from the new copy.

4.3.5 Execute copy
Click on the Process command button to execute the copy. The
new Track will now appear in the Track Editor of the Destination school
site. Further editing may be continued in the edit mode.
4.3.6 Exit copy procedure
Click on the Done command button to exit the Track Copy Utility
screen and return to the Track Editor screen.
