6, Schedule or Unschedule A Group of Courses
Previous sections explain how to schedule, unschedule, or exit one course at a time. In a similar manner, groups of courses can be scheduled, unscheduled, exited, or deleted as a batch. However, this batch process must always start from the Course Requests list on the left side.
6.1 Batch schedule a group of courses
Fig. 45
Alternate method: select a group of courses by highlighting them individually with mouse clicks (Fig. 46).
Fig. 46
6.1.2 Initiate
Click on the Sched command button.
6.1.3 Select Entry Date/Entry Code - start scheduling
In the dialog box that appears (Fig. 47), enter the Entry Date
(the date of the first day the student will attend the courses) and the
Entry Code (reason for starting the courses). Click on the Start
Scheduling command button to continue (or CANCEL to abort).
Fig. 47
Entry Date -
The first time this dialog box is opened the Entry Date
date field will default to the "display date" on the main screen in the
Show Schedule as of field. In subsequent usage the Entry Date
will default to the date that was used in the previous scheduling action.
There are four methods for entering the proper date in the field:
Fig. 47a
Entry Code -
Select an Entry Code (type of schedule record) from the drop-down list
(Fig. 48). Normally, 'Manually Scheduled' should be selected unless there
is a reason to "lock" all the schedule records, in which case 'Pre-Scheduled'
would be the correct choice. Some of the available codes are place holders
and will not be applicable in this procedure.

6.1.4 Start Scheduling
Click on the Start Scheduling command button to proceed, or
the CANCEL Scheduling command button to abort.
The selected group of course requests will be copied to the Schedule Courses screen (Fig.49)
Fig. 49
6.1.5 Confirm scheduling
In the Schedule Courses screen, go down the list and confirm each course
request to be scheduled according to the desired available period by clicking
on the line until it is highlighted in yellow (Fig. 50). If two or more
selected course sections are in conflict an error message will appear.
Fig. 50
6.1.6 Take note of any conflicts encountered
In the example above (Fig. 50) an error message occurs because two
course sections to be scheduled are in conflict, that is, they fall in
the same term, same period, same cycle day. Click "OK" to continue. This
action will skip the focus to the next line. The course in conflict will
not be highlighted in yellow (Fig. 51). There may be, however, another
section available for the same course that will not be in conflict. This
other section can be highlighted as an alternative.

6.1.7 Copy to schedule grid
Click on the Save command button to copy the courses to the
schedule grid, or Done to cancel without copying. If Save,
the group of successfully scheduled courses will now appear dimmed to gray
(Fig. 52).

6.1.9 Continue, Save, or Quit without saving
Repeat the steps above for subsequent group scheduling for the selected
student, or reverse the process using the group unscheduling procedure
(see Step 6.2). All scheduling is temporarily held in memory until the
Save command is executed from the main screen. After the schedule
has been finalized, click on the Save command button to post the
modified schedule to the database, or click on the Quit command
button to exit without saving.

Alternate method: select a group of courses to be unscheduled by clicking them individually until they are highlighted in yellow (Fig. 55).
Fig. 55
6.2.2 Initiate
Click on the Unscd command button.
In the dialog box that appears (Fig. 56) answer "Yes" to confirm unscheduling or "No" to abort.
Fig. 56
6.2.3 Select Exit Date/Exit Code - start unscheduling
In the next dialog box that appears (Fig. 57), enter the Exit Date
(if the scheduled records are unsaved this date will normally be the same
as the Entry Date) and the Exit Code of 'Withdrawn'. Click on the
Start Unscheduling command button to continue (or CANCEL
to abort).
The Exit Date is set by clicking on the field button to open a drop-down calendar (Fig. 58). Use the calendar's VCR buttons to scroll backward or forward through the months. Select the target date until it is highlighted in yellow. Click on the Select command button to enter that date as the Exit Date.
Fig. 58
To update the Exit Date to be the same as the display date (Show Schedule as of date), click on the Display Date command button.
6.2.3 View modified schedule
Course ID numbers of unsaved courses that have been unscheduled will
be removed from the schedule grid on the right. The original course requests
remain in the Course Requests list on the left; in red
font, indicating their unscheduled status (Fig. 58).
Fig. 59
6.2.4 Continue, Save, or Quit without
saving
Repeat the steps above for subsequent group course unscheduling for
the selected student, or reverse the process using the group scheduling
procedure (see Steps 6.1 - 6.1.9). All scheduling is temporarily held in
memory until the Save command is executed. After the schedule has
been finalized, click on the Save command button to post the modified
schedule to the database, or click on the Quit command button to
exit without saving.
Alternate method: select a group of courses to be exited by clicking them individually until they are highlighted in yellow.
6.3.2 Initiate
Click on the Unscd command button.
In the dialog box that appears (Fig. 56) answer "Yes" to confirm unscheduling, or "No" to abort.
6.3.3 Select Exit Date/Exit Code
In the next dialog box that appears (Fig. 57), enter the Exit Date
(the date of the last day the student will attend the courses) and the
Exit Code (reason for exiting). When exiting saved courses there
are several applicable Exit Codes to choose from, such as 'Drop Out', 'Schedule
Change', etc. (Fig. 59a).
Fig. 59a
The Exit Date is set by clicking on the field button to open a drop-down calendar (Fig. 58). Use the calendar's VCR buttons to scroll backward or forward through the months. Select the target date until it is highlighted in yellow. Click on the Select command button to enter that date as the Exit Date.
To update the Exit Date to be the same as the display date (Show Schedule as of date), click on the Display Date command button.
6.3.4 View modified schedule
Even though the dialog in the previous step implies that the saved
courses have been "unscheduled", in actuality they have been only been
exited or dropped. The appearance of the schedule grid will depend on the
display date set in the Show Schedule as of field. The original
course request, if applicable, will always remain in Course Requests list.
If the display date is set outside of the original schedule's date range
the original request will turn to a purple
font to show that that it was scheduled at one time. When the display date
is set within the date range, the original course request will be
in black font to show that it is scheduled on that date. Furthermore,
the Course ID number and description will remain in the schedule grid until
the display date is changed in the Show Schedule as of field to
a date outside (not including) the date range of the schedule history
of the section(s), that is, after the Exit Date or before
the Entry Date.
