Last update: 04/20/2001

The following sample is an 'Attendance Detail & All
Totals' report for a one month period of a middle school with only one
attendance taking period in the track . The three grades of 6th, 7th,
and 8th are selected for reporting. When the Grade field is the
primary sort field, as in this case, the student listing is grouped by
grade in the Detail Section with page breaks between each grade group.
Grade subtotals are displayed at the end of each grade grouping (Fig. 2).
The last page is a summary of all totals (Fig. 3).
Detail Section
Fig. 1
-
Reporting Period - as defined in the 'Options' tab.
-
Grade level grouping header -
-
Student name -
-
Student ID number -
-
Student's grade level -
-
Attendance Category code - to differentiate between
"Regular" education, "Special Education", etc., for ADA purposes
-
Entry Date/Code - first day of enrollment in the track
and reason for enrolling.
-
Exit Date/Code - last day of enrollment and reason
for exiting. This will only appear if the student exited during the reporting
period.
-
Days column headers - the days in the reporting period
are numbered sequentially, but because of space limitations only one numerical
character can be shown. When there are more than 9 days in a reporting
period the column header will show only the first decimal place for days
that number 10 and beyond. For example: "1234567890..." represents days
1 through 10. "1234567890123..." represents days 1 through thirteen 13.
"123456789012345678901" represents days 1 through 21, and so on. The single
character attendance codes for each student will appear aligned below these
column headers in a detail report.
-
Attendance Codes - each day in the reporting period
is marked by an attendance code to signify Absent, Tardy, Present, Unexcused,
etc. Hyphens (-) indicate that no class was scheduled for the student on
that day. Pound signs (#) indicate the student was not enrolled on that
day. See legend on the last page of the report for definitions of all attendance
codes used.
-
Prev Enrl (Previous Enrollment) - A "1" in this column
indicates that the student was enrolled in the current attendance track
before the beginning of this reporting period. A zero (0) indicates
the student was not enrolled before the beginning of this reporting
period.
-
Enrl Entries (Enrollment Entries) - A "1" in this
column indicates that the student enrolled in the current attendance track
sometime during the reporting period. A zero (0) indicates the student
did not enroll during the reporting period.
-
Enrl Exits (Enrollment Exits) - A "1" in this column
indicates that the student exited the current attendance track during
the reporting period. A zero (0) indicates the student did not exit
during the reporting period.
-
Ending Enrl (Ending Enrollment) - this value
is calculated by adding the value in the Previously enrolled field
to the value of the Enrollment Entries field and then subtracting
the value of the Enrollment Exits field. In the detail section,
this final value will either be a "1" or a zero (0) to indicate whether
the student was enrolled on the last day of the reporting period or not
enrolled. In the grade subtotal and summary sections (Figs 2 & 3) the
value in this field represents the total number of students enrolled on
the last day of the reporting period; calculated by looking at the entire
listing and counting the number of "1s" in this field.
-
Days Enrolled - the number of in-school days the student
was enrolled during the reporting period.
-
NAppt Abs (Non-Apportioned Absences) - the number
of absences reported that are considered "non- funded" for ADA purposes.
This corresponds to any attendance code that was defined with a "0" in
the Apportion field of the Attendance Code (zattend) table. These
could be, for example, Doctor's Appointment, Funeral, etc. (See "Prerequisites"
in the document.)
-
Appt Abs (Apportioned Absences) - the number of absences
reported that are defined as "funded" for ADA purposes. This corresponds
to any attendance code that was defined with a "1" in the Apportion
field of the Attendance Code (zattend) table. These could be, for example,
Excused Tardy, Field Trip, etc. (See "Prerequisites" in the document.)
-
Act Pres (Actual Present) - number of days the student
was actually present in the classroom. Calculated by subtracting the total
of Non-Apportioned Absences and Apportioned Absences from
the Days Enrolled value. A student is considered "present" for a
full day according to the the minimum number of minutes the student must
attend to qualify for a full day - as defined for the track in the Minutes
for Full Time Enrollment field in the Track Editor. (See
Track Editor, Step 1, 'Define General Parameters'.)
-
Act P%Enrl (Actual Present Percentage Enrollment)
- equals the Actual Present value divided by the number of Days
Enrolled. This is the percentage of days enrolled that the student
was actually present in the classroom (does not count any absences, funded
or non-funded)
-
Appt Pres (Apportioned Present) - number of days the
student was present, including the Apportioned (funded) Absences
but not including the Non-apportioned (non-funded) absences.
-
Appt P %Enrl (Apportioned Present Percentage Enrollment)
- the Apportioned Present value divided by the number of Days
Enrolled. This is the percentage of a student's days enrolled that
they were considered "present" for ADA funding purposes.
-
ADA (Average Daily Attendance) - equals the number
of Apportioned Present days divided by the number of School Days
in the reporting period. When calculated for an individual student, this
is the ratio or percentage of school days in the reporting period that
the student was actually present. For students with perfect attendance,
this value will be 100% expressed as "1.00". A 75% ratio will be expressed
as "0.75", and so on.
-
ADM (Average Daily Membership) - equals the Days
Enrolled divided by the number of School Days. When calculated
for an individual student, this is the ratio or percentage of school days
in the reporting period that the student was officially enrolled. Students
enrolled for all of the days will have a 100% membership rating expressed
as "1.00". A 75% ratio will be expressed as "0.75", and so on.
-
School Days -
Number of attendance days in the reporting period.
-
Period -
Grade subtotals
All of the above calculations from the detail sections are subtotaled
at the end of each grade level grouping (Fig. 2) . See Fig. 3 for explanation
of each field.

represents the total number of students enrolled on the last day of the
reporting period.
