Step
4, Assign Track & General Comments
The
Track Marks application is a means for associating Mark Definitions and
Mark Reporting Comments with specific tracks for reporting purposes.
After Mark Definitions are created, they must be associated with specific Tracks in order to be used (in the same manner that courses must be assigned to a track via the Track Course Selection procedure in order to be scheduled). Later, the Definitions will need to be associated with specific courses. As a prerequisite to this action, the Mark Definitions are first assigned to the same Track(s) as the courses for which Marks will be collected and processed.
Within this same application, the next step will be to associate Mark
Reporting Comments with a track. These are general (global) comments that
will be printed (optionally) on all Report Cards for a specific Mark Reporting
Timeline Point, within a Mark Definition. Remember that Timeline Points
have already been associated to each Mark Definition in the previous application
('Definitions').
4.1 Open Track Marks screen
From the Mark Reporting Main Menu, click on the Track Marks icon button.

4.2 Select a Track to receive assignments
The current Track is displayed in a read-only field at the top
of the screen (Fig. 46). Use the VCR buttons at the bottom of the
screen to scroll forward or backwards through the available tracks, or
use the List command button to select a track from a list
of available tracks. Only tracks defined for the logged on school site
will be available, unless logged on to a district office.
4.3 Assign Mark Definitions
4.3.3 Select a Mark Definition to assign
Select an entry in the Unassigned list until it is highlighted
in blue.

4.3.4 Assign or Unassign selection(s)
To assign the selected single definition, click on the single right arrow. The selection will move from the left side to the right side (Fig. 48).

Or click on the double right arrow to move all entries from the left to the right.
To unassign a definition(s) use the reverse process via the single left or double left arrows.
4.3.5 Save assignments
Click on the Save command buttons to save assignments. The screen
will revert to the read-only mode after a successful save (Fig. 49), displaying
what Mark definitions are currently assigned or unassigned.

4.3.6 Repeat
Repeat Steps 4.2-4.3.5 for each track in the target school.

4.4.2 Select a language
Mark Reporting Comments are grouped by language. The screen defaults
to the first available language group in the database (Fig. 51, in ascending
alphabetical order). Select a target language in the Language field.

4.4.5 Activate the edit mode
Click on the Edit command button to activate the edit mode,
signified when the Add Comment command button turns from gray to
blue (Fig. 52).

4.4.6 Add a Comment
Click on the Add Comment command button to open the 'Add Comment
for Current Track' screen (Fig. 53). Select a Timeline Point from the drop-down
list in the Mark Reporting Timeline Point field. Enter an associated
comment in the text field below.

4.4.7 Save comment
Click on the Save Comment command button, or Undo to
cancel.
4.4.8 Add more comments
Repeat the above Steps 4.4.1-4.4.7 to add more comments, if applicable.
4.4.9 Review/Edit/Delete Comments and exit the
edit mode
After a successful save the view will return to the 'Define Mark Reporting
Comments' screen in the edit mode (Fig. 54). If all is satisfactory, click
on the Done command button to exit the edit mode, use the Edit
Comment command button to modify an existing comment, or the click
on the Delete Comment command button to erase a comment from the
list.

4.4.10 Repeat
Repeat Steps 4.4.1-4.4.9 for each track in the target school.
| Note:
Comments are associated with specific Tracks. A comment entered for the "Quarter 1 Report Card" Timeline Point in one Track, will not carry-over into other Track(s) that use the "Quarter 1 Report Card" Timeline Point. Because of this, different comments may be entered for each Track. In order for the comments to be the same across all Tracks, the identical comments must be entered manually for each Track. |
