Sec. 7e, The Applicant 
 

The Food Services Applicant is considered to be a Student Contact because the Applicant is acting in a legal capacity on behalf of the student(s). The Applicant editor provides access to Student Contact records and permits Applicants to be added to Student Records as Student Contact/type-FS Applicant as per the following guidelines:

Preference Editor -
The Preferences Manager (see Sec. 3) contains an Establish Relationship Preference Setting that controls whether or not a relationship is established between the Applicant (as a Student Contact) and every student present on the application. Default setting is YES.

Establish Relationship set to YES -
Includes the applicant as a Student Contact

Establish Relationship set to NO -
When the application is saved, the Applicant is NOT inserted into Student Contacts as a Student Contact / Type FS Applicant for all students on the application. Student Contacts are still available for the Add Applicant procedure.

7e.1 Add an Applicant to the Application
While in edit mode, move to the Applicant page and select the Add Applicant button (Fig. 1). Add Applicant initiates a search of Student Contact records for all students present on the application. If there are no Student Contacts present for any of the students on the application, an alert will notify (Fig. 2). Select 'OK' to display the Select Applicant screen. Follow the steps in Sec. 7e.1.2 to add a new contact.

7e.1.1 Select an existing Student Contact as the Applicant
Contacts present for any household students on the application will be listed in the Student Contacts (Apps) window (Fig. 3). To select an existing Student Contact as the Food Services Contact, click on the name, then click on the Select button or press Alt-S (or you may double-click on the name).

7e.1.2 Add a new Student Contact / FS Applicant
Select the New button if there are no Student Contacts listed or if the Applicant is not listed among the existing contacts (Fig. 3). This presents the Student Contacts window (Fig. 4) in read-only mode. Click on New from that screen to place Student Contacts into edit mode. Complete Applicant name, address (or check 'Lives with Student'), phone number, business information if relevant, etc. as desired. Click on Save to record changes, then click on Done to return to the Select Applicant screen. Click on the correct applicant name, then on Select to insert this individual as the Applicant for this application.

Minimum Required Applicant data -
Applicant Name
Applicant Primary Language - required to print Eligibility Letters (General tab)

Recommended Applicant data -
Applicant Address - included when printing Eligibility Letters (see 'Lives with Student')
Applicant Social Security number - included when the Applicant is inserted into the application as a Household member. If you prefer, the word 'None' may be typed in the SSN field in place of the actual number (General tab).

This Contact is now listed as the Applicant on the application (Fig. 5), and is also present in Student Contacts as a Contact / Type FS Applicant for all students present on the application (see Sec. 7e.1). The Applicant is considered a Student Contact because the Applicant is acting in a legal capacity on behalf of the student(s). If the applicant changes during the year, the previous applicant is replaced in Student Contacts by the new Applicant as Contact / Type FS Applicant. Applicants are not automatically included in the total Household Size. If the Applicant is also a household member, be sure to include the Applicant when completing the Household Members page.

7e.2 Change Applicant
Once an applicant has been added to an application, the Add Applicant button converts to Change Applicant. Click on the Change Applicant button to display the Select Applicant screen (Fig. 3). The current applicant may then be changed, either by adding a new applicant/contact, or by selecting a new Applicant from existing Student Contacts. To select an existing Student Contact as the Food Services Applicant, click on the name, then click on the Select button (or you may double-click on the name). Click on the New button to run Student Contacts and create a new applicant/contact (Fig. 4).
 
 

7e.3 Edit this Applicant
The Edit this Applicant button (Fig. 5) displays the Student Contact record for this Applicant. Select Edit button to place the record in edit mode and make the necessary changes. Select Save, then Done.
