6i, Account Detail Report, Letters & Labels
The Accounts Report button displays and prints an Account Detail Report for the currently displayed account. Additional reports may also be printed for the current account. The Accounts Letter button opens Letters & Labels, where Food Service Letters & Labels may be printed for this account.
Access to Letters & Labels from Accounts is provided to permit individual account statements, replacement lunch cards etc. to be printed from the Accounts module. Setup and maintenance, batch printing and mass printing are available through Food Service Reports, Letters & Labels. This section focuses on producing individual documents for a single consumer.
6i.1 Display / Print an Account Detail Report
Select the Account type (student, faculty, patron), then use
the Find button to locate the consumer account. With the account
in read-only mode, click on the Report button to display the Account
Detail Report (the Report button is not available when an account
is in edit mode). Click on the Print Preview Exit Door icon to close
the preview, then select from the 'Yes' or 'No' print options.

6i.2 Open Letters & Labels
Click on the Letter button to open Letters & Labels. Remember,
when Letters & Labels is opened through the Accounts module, you are
limited to documents for the current consumer account only.

About the Letters & Labels Screen
The consumer name is displayed for confirmation.

Document Group -
A Document group categorizes documents. When a Document group is selected,
the documents within that group are displayed in the Document field. Available
groups are Account statement, Account letter, Meal card, Bar code ID label,
Mailing label, and Other. A document is assigned to a group when a new
document is created. The Group does not define any aspects of the document.
Document -
A specific document within a group. The document name is user-defined,
and is assigned when a new document is created.
Start Print grid -
The document print layout is located to the right of the Document group
and Document fields. In Fig. 3, the Start print grid is blank, because
a document has not been selected. In Fig. 4 the Start print grid
displays the Print to Form selected for the Meal Card document.
Notice that the Start print location defaults to position
1.
Document tracking -
Indicates that Document tracking has been turned on for this document.
Document tracking maintains a record of documents printed for each consumer,
including the document print date. Document tracking information is maintained
in Accounts, Preferences page (under construction). Document tracking is
set when a new document is created, and may be turned off/on from the main
Letters & Labels screen.

Display -
Previews the report on the screen. A 'Yes' or 'No' print option is
presented when the Exit Door icon is used to close the preview.
Export -
Prints the report to a file for export purposes
Edit -
Runs the Letters & Labels Editor for the selected report
Quit -
Exits Letters & Labels and returns to the consumer account
6i.3.2 Select the specific document
When a Document group is selected, all documents within that group
display in the Document window. Click on the specific document to
be printed.
6i.3.3 Turn Document tracking On/Off
Insert a checkmark into the Document tracking check box if this document
printing is to be recorded in the consumer's Account Preferences page,
Document tracking. Uncheck if a tracking record is not required.
6i.3.4 Select Start print position
When a specific document has been selected, the Start print
grid displays the "Print to Form" format assigned when the document was
created. For example, the document in Fig. 4 is a Meal Card. Meal Card
layouts are preset (customized). This particular Meal Card prints 10/sheet,
as shown in the Start print grid. The Start print position
defaults to label/card #1. If a partial sheet is being used, the start
position may be changed by clicking in the Start print grid on the
actual label position to be used (Fig. 5).
Hint ** a sheet of labels should be used no more than three times to avoid printer damage.

6i.3.5 Display / Print document
Click on the Display button to preview the document.
Click on the print preview Exit Door icon to close the preview
and display the print option screen, where you may choose 'Yes' to print,
'No' to cancel.
Click on the Print button to bypass the document preview and send the document directly to the printer.
** The student's Home Language is referenced when a language
is selected for a document (Student Editor, Misc. page). If Home Language
is not present, the student's Primary Language is referenced. If
neither language is present for a student, the default language for a document
is English.

6i.4.2 Bar Code Label -
Contains formats for the most common label sizes. Each label format
permits the "start" location to be set to allow use of partial sheets of
labels. Text and merge fields may be combined. The number of lines of text
allowed is determined by the type of label used. An Avery 5160 label, for
example, has room for up to three lines of text in addition to the bar
code.

6i.4.3 Mailing Label -
Contains formats for the most common label sizes. Each label format
permits the "start" location to be set to allow use of partial sheets of
labels. Text and merge fields may be combined. The number of lines of text
allowed is determined by the type of label used. An Avery 5160 label, for
example, has room for up to six lines of text.

6i.4.4 Meal Cards -
Meal Card formats are preset using standard credit card dimensions.
Customized formats may also be present. Each card format permits the "start"
location to be set to allow use of partial sheets of cards.

6i.4.5 Form Letter -
Form Letters combine a text editor and mail merge capabilities. Each
letter references the student's Home Language. If Home Language
is not present, Form Letters use the Primary Language, or last,
English if a language is not present for a student.
