5c, Edit a Food Item
The most common reason to edit a food item is to record a change in
the price of the item. Items utilize Rate Change records to insure
that the correct item price is used, based upon the date of service. Rate
Change records also maintain a history of item prices. Editing may also
include changing the Description or availability of an item. Items may
be deleted, however an item may not be deleted if it has been included
in a transaction.
Steps to Edit a Food Item:
5c.1 Locate the Item
Click on the Find button to run the Find utility (Sec. 5b.1)
and locate the specific item. The Item will display in read-only mode.

5c.2 Edit the Item
Click on the Edit button to place this item into edit mode (Fig.
2).
5c.2.1 Change Item Information:
The Item Description and Availability (Location and Meal)
may be edited at any time. Item Type is read-only and may not be
edited. If the Item Type has changed for this item (for example,
the ala Carte item Breakfast Pizza is now considered to be a Meal item)
create a new Meal Item for Breakfast Pizza (Sec. 5a). Discontinue
using the ala Carte Item Breakfast Pizza (edit the Item Description to
flag this item as obsolete).

5c.2.2 Change the Price
of an Item

With the Item in edit mode, change the Expire Date to reflect the
last day the current rate is in effect.

Click on the Add button (Pricing grid) to activate a new rate row.

Complete the Effective Date for the first day the new price is in
effect. The Expire Date for the new price is optional but recommended.

Tab to and complete the new Student, Faculty, Adult and Child prices.
Rules for Item Rate Change Records:
Rate Change Records establish specific time frames for an an Item rate.
This allows a rate to change mid-year without affecting historical reporting,
and also maintains a history for each rate. The following applies to Rate
Change Records:

Effective and Expire Dates are not required unless a Rate changes.
If these dates are not present, the system assumes the rate is in
effect.

If a Rate changes, only the Expire Date is required to close
the current rate. The Effective Date is optional.

To place a new rate in effect, only the new Effective Date is required.
The Expire Date for the new Rate is optional.
Click on the Save button to record changes. Use the Undo
button to remove unsaved changes and revert back to the last saved
version of this item.

5c.3 Delete an Item
Click on the Find button to run the Find utility (Sec. 5b.1)
and locate the specific item. The Item will display in read-only mode.
Click on the Delete button (Alt-D). A confirmation prompt requires
a 'Yes' / 'No' response to continue. Error trapping prevents an item from
being deleted if transactions are present that include that item.
