Item type -
Item type defaults to ala Carte with the focus placed
on Item Description. If the new item is other than ala Carte, click
on the Item type drop down list box and select the correct Item
type. Remember, Item types of Lunch, Breakfast and Milk use pre-defined
prices set in Rates .

Item Description -
A text field for the user-defined description, which appears in reports
and during Cafeteria transactions.

Limit Availability -
Location(s)
Set item availability as District-wide, a specific school type (Elementary
only, for example), or as available at a specific school site. Click on
the drop down list box to display choices.

Meal(s)
Set Item Meal availability as Lunch only, Breakfast only, or Unset
to indicate Meal availability is not restricted. Click on the drop down
list box to display choices.

5a.1.2 Complete the Item Pricing
information / ala Carte Item
Click on the Add button (Alt-A from the keyboard) to insert
an item rate row. The Item type selected sets this item as an ala
Carte item, which controls the appearance of the Item screen. In Fig. 7,
the ala Carte Pricing screen is displayed. Use the Tab key or the left/right
arrow keys to move through the Ala Carte Pricing fields and complete
Effective and Expire Dates *, and each price as appropriate.

* Rules for Rate Change Records:
Rate Change Records establish specific time frames for an ala Carte
item rate. This allows a rate to change mid-year without affecting historical
reporting, and also maintains a history for each rate. The following applies
to Rate Change Records:

Effective and Expire Dates are not required unless a Rate changes.
If these dates are not present, the system assumes the rate is in
effect.

If a Rate changes, only the Expire Date is required to close
the current rate. The Effective Date is optional.

To place a new rate in effect, only the new Effective Date is required.
The Expire Date for the new Rate is optional.
It is recommended that both Effective and Expire Dates are included when
a price is entered to promote consistency and to avoid inadvertently using
an incorrect price at the start of a new school year. Also, assigning both
dates to a price produces concise Items Reports with clearly defined price
ranges for each Item.
5a.1.3 Pre-defined
Item Pricing information / Meal or Milk Item
Setting the Item type as Lunch, Breakfast or Milk triggers
the Meal Item screen, and automatically references Rates for pre-defined
prices and effective and expire dates. Required fields to set a Meal Item
are Item type, Item Description, and Availability
(Location and Meal). At this point click on the Save button (Alt-S
from the keyboard) to record this Meal Item. In Fig. 8, the price
of the Salad Bar Meal Item is obtained from Rates based upon
the status of the consumer, and is a potentially reimbursable meal.

5a.1.3.1 Override Meal
Rates
An Item Type of Lunch, Breakfast or Milk
automatically references Rates for prices and effective/expire dates
for the price of the item. Automatic use of pre-defined Rates may be overridden
if you wish to create a Meal Item that will use a rate other than
the pre-defined rates. The ability of override pre-defined rates is present
to allow for the following possible meal configurations:

Account charging is not permitted, yet policy requires that a meal is made
available to each student.. A Commodity Meal is served at no charge
to Reduced and Full-Pay Students unable to pay for the standard meal. The
Commodity Meal qualifies as reimbursable per the status of the consumer.
Pre-defined Student Meal Rates must be overridden to set the cost of this
meal at '0.00' (Fig. 9).

An additional Faculty Meal with substantially increased portions is offered
at a higher price than the standard Faculty Meal. The pre-defined Faculty
Meal rate must be overridden for this enhanced meal (Fig. 10).

An Enhanced Meal at an increased price is offered to all consumers (Fig.
11).
Please Note**
Enhanced Meals purchased by Students are Reimbursable Meals
per the student's status. If an Enhanced Meal is served to a Student (Free,
Reduced and Regular), the student will be charged the override price
and the meal will be included in eligibility figures as reimbursable.
Verify that policy allows a Free or Reduced Student to charge and/or pay
for a meal that exceeds the standard meal price.

To Override a Meal Rate:
Complete Item information and click on the Add button
to activate a rate row (Fig. 9). Click on the Consumer drop down
list box and select the Consumer Type for this rate override. Use
the Tab key to move through the fields and complete Effective and Expire
dates (see Rate Change Rules, Sec.5a.2.2) and Rate information. In Fig.
9, the Meal Item 'Commodity Meal' is a Student Meal, and the price
override sets the cost of the Commodity Meal at '0.00'. Fig. 10 shows the
Meal Item 'Faculty Extra Meal', and the price override sets the cost at
'3.50'.
These Meal Items are now available in the Cafeteria in addition to
the standard Student meals.

Click on the Save button to record this item. The Meal or ala
Carte item is now available for use in Cafeteria transactions.
