2, Administration / Cafeteria Policies
The
Cafeteria Policies module presents a 'pick list' of Cafeteria Alerts and
Restrictions. From this list specific Balance, Quantity and Spending
Restrictions may be enabled with or without district-wide default values.
Policies without district values may be customized later (in the Accounts
module) on a per consumer basis. In addition, each alert and restriction
may be associated with optional audio - in other words, when a food line
alert is triggered for a consumer, an associated sound may be played.

2.2 How Cafeteria Policies works
The intent is to provide a broad spectrum of choices to allow fine
tuning. Fine tuning is optional - one enabled restriction is provided
to allow Cafeteria operation with a 'no charge' policy, adjustable in the
food line.
2.2.1 Synopsis
Avoid enabling too many restrictions with district values. For
example, if 'Minimum Allowable Balance' = 0.00, it is unnecessary to use
additional minimum balance restrictions.
-
Enable a Restriction or Alert to make it available for use.
-
Set a Value for the Restriction or Alert - this sets a database-wide
default value. The consequence in the food line when
a consumer meets the policy value is controlled by the Cafeteria Settings
for that line. For example, the Restriction 'Minimum Balance for
ala Carte' value is '0.00' (no ala Carte charging). Cafeteria Settings
controls how this event is handled when it is encountered in the
food line, provided Preference management rights have been assigned to
the cash drawer level.
-
Enable a Restriction or Alert, but check 'No District Value'
- this makes the restriction or alert available without setting a database-wide
default value. You may customize this value for individuals in the
Accounts module, 'Settings' tab.
-
Example - a parent has contacted the school and stated they will be responsible
for one lunch per day only. First enable this restriction in the
Policies module. Then locate this student in Accounts, 'Settings'
tab and add the restriction 'Maximum Lunch Meals'. Enter a value of '1'.
Other consumers will not be affected.
-
Example - a parent has refused to pay Breakfast charges, stating that the
student eats breakfast at home, and that the school has provided Breakfast
without parent authorization. First enable this Alert in the Policies
module. Then locate the student in Accounts, 'Settings' tab and add this
alert.
2.2.2 Installation Default Values and how
the Cafeteria food line is affected
-
The Balance Restriction 'Minimum allowable Balance' is enabled with a default
value '0.00'. No other Restrictions or Alerts are enabled.
This sets a default district policy of 'no charging' which may
be adjusted in each food line. If this is actual district policy
with no exceptions allowed, manage this Cafeteria Preference at the District
level.
-
Cafeteria module Policy Settings are set to 'Ask'.
This default configuration will process service without interruption
for Free students and all other consumers with adequate funds to cover
today's service. Cafeteria service stops and displays the message
'Minimum allowable balance has been reached' with ALLOW or DENY for consumers
with insufficient funds to cover today's service.
2.3 Policies & Audio Alarms
If you wish, audio alarms may be associated with each Alert and Restriction.
If you choose to include audio, each workstation requires the following:
-
Microsoft Windows Media Player (c) must
be installed. The Player is included in \ snet\ Data\ media\ mpstd.exe.
-
Sound card
-
Speakers
Generic Windows sounds are present in the media directory. Additional
audio files may be copied to this directory and used in place of these
generic sounds. Audio formats that are supported are .wav,
.mid and .rmi.
Each workstation has the option to enable/disable sound. Each
workstation has a local volume control. Audio for a specific Restriction
or Alert may also be controlled for an individual in Accounts, 'Settings'
tab.
