SIS 2000+ Find a Student

Last update:10/31/2002 jmm

Many SIS 2000+ applications have a standardized set of Navigational command buttons along the bottom of the application's main screen that are used for finding a specific student record. These are the VCR, Find, and List buttons.

Fig. 1

As such, once the target Group has been selected using the Student Group Selection Buttons, there are three methods available for finding a student record:

  1. Scroll Search using the VCR buttons.
  2. Search using the Find button.
  3. Alphabetical list using the List button.

Scroll Search

Student Banner records are stored alphabetically by student last name. Scroll forward or backwards through the selected Group of student records using the VCR buttons at the bottom of the screen. The single right arrow will advance to the next record. The single left arrow will go to the prior record. The barred left and right arrows will jump directly to the beginning or end of the records respectively.

Important: When executing a search for a student using the VCR buttons, List command, or Find command, only the records from the currently selected Group will be available for the search. If the record is not found, widen the search criteria by selecting a more inclusive group.

The Find command

Click the Find button at the bottom of the program screen (or press ALT+F on the keyboard) to search for a student record. Or, as an alternative to clicking with the mouse, move the focus to the Find button using the TAB key and then press Enter to initiate the command. The 'Find Student' form will appear (Fig. 2).

The quickest way to find a student is to enter the student's ID number in the Identification field and then click on the List button at the bottom of the form. If the number is valid, the application will open directly to that student's record. However, if the ID number is not known, any combination of fields may be used in a search. The form has eight student demographic fields to search on. Enter search strings into data fields (Fig. 2) and click on the List button to begin a search (Click on Clear to clear all data on the search form  and start again. Click Cancel to exit the form). Remember that only those student records that satisfy all criteria will be retrieved.

Compare the data in the [ID] (student identification number), Gender, Trk (Track), Birth Date and SNN (Social Security Number) fields to locate the target student. Select the target student by clicking on the correct entry line until it is highlighted in gray. Then click the Select button. The view will open to the student's record in the application (or click the Find button to return to the 'Find Student' form, or click on Cancel to exit the Find procedure).

The List command

Click on the List command button at the bottom of the program screen. A selection list of all students in the currently selected Group will be displayed, listed in alphabetical order by last name (Fig. 4). The Student ID number is displayed in [brackets] after each name followed by the Gender code, Track code, Grade level, Birth Date, and Social Security number of the student. Scroll up or down to find a student. To open a student record, double click on the target entry or single click the entry until it is highlighted in gray and then click on the Select command button or press Enter (or click on the Find command button to go to the 'Find Student' form or click on Cancel to exit the selection list).

Note on Students Enrolled in more than one track:
A student who is enrolled in more than one track simultaneously at the same school site will have a separate record for each track in SIS 2000+ Banner applications. This will result in a multiple listing for that student in the 'Find Student' screens (Fig. 6). Be sure to select the correct track for viewing.
